The Florida Library Association seeks a dynamic, experienced individual to lead FLA and manage our office in Tallahassee. The Executive Director supervises one FT and one PT employee, contract service providers, and an annual budget of $300,000. Primary responsibilities include leading and managing Association business, membership and organizational development, conference management, fundraising and revenue generation, communication, advocacy and public relations, and working with our many talented volunteers.

The Florida Library Association is a non-profit membership organization serving librarians and library staff in public, academic, school, and special libraries throughout the state of Florida. Governance of the Association is by a Board of Directors holding the elected offices of FLA. The Association has several standing committees that include Finance, Advocacy & Legislative, Conference, Intellectual Freedom, Leadership Development, Membership, and Marketing. The Association currently has a membership of approximately 950 individual and institutional members.


General Description

The Executive Director of the Florida Library Association (FLA) is responsible for managing the day-to-day operations of the Association and implementing the policies and programs of the organization as established by the Board of Directors.  The Executive Director is an employee of the Association Executive Board and is supervised by the FLA Board President.  FLA is a chapter of the American Library Association.


Essential Duties & Responsibilities

  1. Advance and support the interests of Association membership through efficient and effective leadership of Association affairs and by enabling members to be effective in their roles within FLA.
  2. Manage, account for, and make recommendations for Association income, expenditures, and savings/investment, providing financial reports to the Treasurer and the board, and provide additional financial documentation as needed. With the Treasurer, prepare the annual budget and the annual financial report for the Annual Business Meeting.
  3. Work with the Advocacy and Legislative Committee to supervise the efforts of the Association lobbyist and complete the annual evaluation of lobbying services.  Participate in advocacy efforts.
  1. Manage the annual conference and tradeshow directly or by working with a conference management firm and the Executive Board. Assure a profitable and successful conference is carried out. If a firm is engaged, work closely with the firm throughout conference planning and the conference itself. Assist the Conference Committee in developing a conference program of events and programs and serve as liaison between the committee and the conference management firm.
  2. Initiate and carry out fundraising and revenue generating activities to increase funds available for library advocacy and member services.  Work with the Fundraising Committee and Scholarship Committee to ensure successful fundraising initiatives.
  3. Increase membership through an organized plan of recruitment and retention activities. Assist the Membership Committee in coordinating and implementing an effective program of membership development and services. Manage maintenance of an accurate, up-to-date membership database and provide monthly membership reports to the Executive Board.
  4. Provide effective leadership in working with the Executive Board, FLA employees and contracted service providers, FLA committees and member groups, and association membership in the development and implementation of policies furthering the mission, goals, and objectives of FLA as specified in the FLA Strategic Plan.
  5. Coordinate Association communications. Manage the website, electronic email lists, social media services, and print and electronic publications and blogs. Assure that all communications are timely and fit within FLA’s mission. Maintain an effective internal and external public relations program to assure an informed membership, attract potential members, engage the media, and inform the Florida legislature, other associations and industry groups about FLA. 
  6. Serve as an ex officio, non-voting member of the Association Executive Board, prepare Board meeting materials, assure that meeting logistics are arranged and announced, and assist the President in developing Board meeting agendas.
  7. Serve as spokesperson for the Association in coordination with the President and Board. 
  8. Represent the interests of Association leadership and members by contributing to long-range planning, both strategic and operational. Provide the Executive Board with a quarterly update of progress towards the goals and objectives of the strategic plan.
  9. Hire, supervise, and provide training for Association employees and contractors.
  10. Facilitate recognition of, and compliance with, leadership responsibilities and deadlines of the Association. Provide one-to-one coaching and serve as a resource to answer questions and provide continuity for Association leadership.
  11. Evaluate the efficiency and effectiveness of Association and FLA office activities, programs, services, and methods. In conjunction with the Planning Committee, recommend the continuance, enhancement, or discontinuance of Association activities. Develop, and make available to membership, an annual report.
  12. With the Secretary, assure accuracy of Executive Board minutes and other documents to be maintained in the FLA archive. Assure all FLA accounts, registrations, licenses, and other required paperwork is kept up to date.  
  13. Initiate and carry out fundraising activities to increase funds available for library advocacy and member services.  Work with the Fundraising Committee and Scholarship Committee to ensure successful fundraising initiatives.
  14. Assure availability of an Association services office that is readily available to members via telephone and electronic communication.
  15. Present formal orientation programs for new Board members, committee chairs, and member group leaders each year. Assist the Board and committee leadership in identifying candidates to run for office and to serve on committees.  Participate in cultivating new Association leaders.
  16. Serve as an ex officio, non-voting member on all committees. Coordinate the work of FLA committees and ensure committee goals are aligned with the strategic plan.  Provide assistance to committees as needed or requested.
  1. Form strong partnerships with other library-related organizations in Florida, with the American Library Association, and with organizations interested in libraries, literacy, and freedom of access to information.
  2. Maintain the FLA Policy Manual and interpret and administer policies. Work effectively with the Executive Board to develop, implement, revise, and evaluate policies.
  3. Attend ALA Mid-Winter and Annual Conferences as funds allow, participating in the meetings and activities of the International Council of Library Association Executives (ICLAE) and the ALA Chapter Relations Office. Handle American Library Association (ALA) Chapter Relations correspondence.
  4. Attend library-related functions across the state as funds allow.
  5. Responsibilities may require an adjusted work schedule on occasion. This may include weekend or evening hours in order to meet deadlines or accomplish projects.




Minimum Requirements

  1. Five years’ experience in membership association management, or a combination of equivalent skills and experience.  A CAE certification and/or a master’s degree in library science or a related field is strongly preferred.  
  2. Demonstrated experience in conference and trade show planning (with several hundred attendees) and meeting management.
  3. Professional experience in financial management practices for a non-profit or association.
  4. Experience with or significant knowledge of the legislative process and advocacy strategies, and the ability to maintain positive relationships with state and local government officials.
  5. Ability to effectively use Microsoft Office Suite, current accounting software applications (QuickBooks preferred), and membership database software (MemberClicks preferred). 
  6. Must have a valid Florida driver’s license within two weeks of employment, have the ability to drive an automobile, and must own an insured automobile or have access to an insured automobile that can be used for Association-related travel. 
  7. Clear and effective communication skills, both orally and in writing.
  8. Proficiency in spoken and written English.

The employee must be able to stand and sit for a period of up to two hours, and move about inside the office to access file cabinets, office machinery, etc. Required to drive within the state to attend meetings. The employee may occasionally move objects of up to 20 pounds.
